Terms of Service

Last updated: July 14, 2026. These Terms of Service ("Terms") govern your use of meetingtraveler.com and your registration for and attendance at MeetingTraveler™ events. By using the site or registering for an event, you agree to these Terms.

Event Registration and Qualification

MeetingTraveler™ events are designed for qualified corporate, association, and independent meeting and event planners. Registrations are applications: our team reviews each one and confirms qualified planners, typically within 48 hours. We may accept, decline, or cancel any registration at our discretion, including registrations that do not meet our qualification standards.

Registration Fee and Gift Card

Planner registration requires a $25 fee, which confirms your seat. When you attend and check in at the event, the fee is returned to you as a $25 Amazon gift card. If you do not attend and have not arranged a transfer in advance, the fee is forfeited and is not refunded. If we decline your registration, your fee is refunded in full.

Attendance and Conduct

The event format depends on full participation, so attendees are expected to take part in the complete program, including all Speed Meetings. Business attire is expected. We may decline entry to or remove any attendee whose conduct disrupts the event, without refund.

Transfers, Changes, and Cancellations

If you can no longer attend, contact us before your event and we will work with you to move your registration to another city on the schedule. Event dates, venues, and programming may change. If we cancel an event outright, registered planners may transfer to another date or receive a full refund of the registration fee.

Photography and Recording

MeetingTraveler™ events may be photographed and recorded. By attending, you consent to the use of your image, likeness, and voice in our marketing and communications, without compensation.

Supplier Participation

Participation by hotels, resorts, destinations, and other suppliers is by invitation and governed by separate agreements. Supplier invitation codes are confidential and non-transferable.

Intellectual Property

The MeetingTraveler™ and SpeedMeetings™ names, logos, website content, and event formats are our property or used with permission and may not be used without our written consent. MeetingTraveler and SpeedMeetings are trademarks of Travel Group Ventures Inc., with applications pending before the United States Patent and Trademark Office.

Disclaimers and Limitation of Liability

Events and the website are provided "as is." To the fullest extent permitted by law, we are not liable for indirect, incidental, or consequential damages arising from your use of the site or attendance at an event, and our total liability will not exceed the amount you paid to us.

Governing Law

These Terms are governed by the laws of the State of California, without regard to conflict of law principles.
